CCTV Policy
1. Purpose and Scope
This policy outlines the purpose, scope, and management of CCTV systems operated by Gymnastics in Ipswich. It applies to all employees, contractors, and visitors within the premises where CCTV is installed.
2. Legal Basis (GDPR Compliance)
The use of CCTV is governed by the General Data Protection Regulation (GDPR) and other relevant privacy laws. CCTV footage is collected and processed for legitimate purposes such as security, crime prevention, and safety. All data subjects have rights under GDPR, including access to their personal data and the right to object to processing.
3. Responsibilities
The Data Protection Officer (DPO - Facilities Manager & Finance & Administration Manager) is responsible for ensuring compliance with this policy. Site managers are responsible for the day-to-day operation of CCTV systems, including maintenance, signage, and access control.
4. CCTV Locations
CCTV cameras are installed in strategic locations including entrances, exits, parking areas, and common areas. Cameras are not installed in private areas such as restrooms or changing rooms.
5. Data Retention and Access
CCTV footage is retained for a maximum of 30 days unless required for investigation or legal proceedings. Access to footage is restricted to authorised personnel only. Requests for access must be submitted in writing to the DPO.
6. Signage and Public Awareness
Clear signage is displayed in areas monitored by CCTV to inform individuals of surveillance. The signage includes the purpose of monitoring and contact details for further information.
7. Review and Updates
This policy is reviewed annually or when significant changes occur in legislation or operational practices. Updates are communicated to all relevant stakeholders.
